What these Terms and Conditions Cover: These are the terms and conditions on which we provide educational services.

Why you should read them:  Please read these terms carefully before you accept our offer of a place at Mad Hatters Theatre School for your child. These terms tell you who we are and how and on what basis Mad Hatters Theatre School will provide educational services.  If a place is offered, parents or anyone else with parental responsibility will be required (as a condition of accepting the place) to accept and be bound by Mad Hatters Theatre School's Terms and Conditions as listed below.  Please note that Mad Hatters Theatre School will be referred to as MHTS in below information.

1. Registrations, Fees, Payments and Refunds

Registration: All participants must complete a registration form before attending any sessions, including Trial sessions.

Fees:  Fees, are calculated in advance of the start of term, in line with the Central Beds Academic Calendar.  Therefore, a term can be made up of, between 11-14 weeks, depending.

Payments: Payment options are required to be selected at the time of booking to secure a place in MHTS. 

Payment Methods: Payments are only taken via our online payment platform through Bookiphy using Stripe payments only.

Confirmation: Upon receipt of payment, a confirmation email will be sent to the provided email address.

Withdrawal of membership at MHTS (including notice to leave):  If, for any reason, the student wishes to leave MHTS, a minimum of 4 weeks notice is required, in writing.  Upon receipt of this written notice, MHTS will the confirm a leaving date.  All fees are to be paid up until and including the confirmed leaving date.  Only upon completing the session held on the agreed leaving date, will membership then be cancelled.  If the student does not wish to complete the last 4 weeks of sessions, fees are still payable to cover these sessions until and including the agreed leaving date.  Any dates paid for after the agreed leaving date will then be refunded, with the 3.6% exclusion listed below.

Refunds:   Should there be any reason for a refund, please note that all refunds will be minus 3.6% of the total value.  This percentage is retained to cover the processing charge issued directly by Bookiphy and Stripe that is taken immediately from all payments upon payment completion.

2. Attendance and Punctuality

Arrival and Departure: Parents/guardians must ensure their children arrive and are collected on time and that the students are dressed appropriately, prepared and ready to start class.

Lateness:  If a student is going to be considerably late, please let us know your estimated time of arrival to the class. Upon arrival the student will be expected to apologise for being late to each member of staff in attendance. 

Absences:  If there is advanced knowledge of when a student will be absent, notice must be submitted to MHTS as far in advance as possible.  Dates of 'missed' rehearsals must be clearly written.  For any sessions missed by the student due to sickness/holiday or any other reason will not receive a refund or credit.

If a student is absent without notice, this absence will be noted and considered as ‘unauthorised’.  If there are THREE or more unauthorised absences from MHTS, the student will be excluded from rehearsals for the remainder for the term and fees will be non-refundable.

Due to the nature of working as a company and needing all students to attend rehearsals, students are not permitted to be absent (be it authorised or not) for more than 30% of rehearsals within one block booking. Except for illness, absence is frowned upon and records of attendance will be used upon consideration for future shows and privileges.  MHTS also has the right to remove any students from current or future shows and/or privileges offered by MHTS, if attendance to classes is poor.

Failure to Provide Sessions:  Should MHTS fail to provide its classes (bar the exception stated in next point) participants will either:

1) have another date added into the term dates 

2) Have the proportionate fees deducted from their next term’s payment.​

Should Mad Hatters fail to provide any classes due to exceptionally bad/dangerous weather, preventing students getting to or home from class, fees for this class will not be reimbursed.

3. Health and Safety

Medical Information: It is essential to provide accurate medical information about your child at the time of booking. Any changes to this information must be communicated promptly.

Injuries and Illness: If a child becomes ill or seriously injured during a session, parents/guardians will be contacted immediately. In the case of a minor injury where the student is deemed able to remain at the session, the student will be treated accordingly and explanation issued at the end of the session along with a report form for the parent/guardian to sign.  In all events of injury, necessary PPE will be worn.

In case of an emergency, appropriate medical assistance will be sought and record of injury made.  This record will be kept on file for THREE years as required by law, irrespective of if the child has left MHTS within that time frame.

COVID-19:  Attendance to MHTS is NOT permitted if the student has tested positive for COVID-19 and fees will not be reimbursed for any missed sessions.

4. Behaviour and Conduct

Code of Conduct: Children are expected to behave respectfully towards teacher, staff, and fellow students. Disruptive or harmful behaviour will not be tolerated.  Please see policy on our website.

Disciplinary Actions: MHTS reserves the right to remove a child from a session if their behaviour is deemed inappropriate. No refunds will be issued in such cases.

5. Uniform and Provisions
Food and Drink: All Students are to bring a full bottle of water to class as well as a NUT and SESAME FREE snack (something edible in 5-10mins to keep them going until dinner time at home).  It is essential that the snacks are free of the formentioned allergens as we have students in the Mad Hatters Family who have severe allergic reactions to these.

Uniform: Purchasing Uniform comprising a T-Shirt and Hoody is expected upon registration.  Other items of uniformare to be sources elsewhere.

Correct Uniform is to be worn for all classes comprising of: 

1. Mad Hatters t-shirt (colour is groups dependant) 
2. Hoody (all ages in Ash Grey)
3. Black Leggings/Jazz pants or jogging bottoms for Autumn/Winter Term.  Mid thigh length shorts are permitted in the Summer Term.  No hot pants are permitted.
4. Black socks
5. Black Jazz shoes/Jazz Trainers
   Please note:
   · Long hair should be tied back in a neat style and kept off student’s faces
   · NO denim is allowed
   · NO jewellery is to be worn.

6. Personal Belongings

Responsibility: MHTS is not responsible for any lost or stolen items. Students are encouraged to leave valuable items at home.

Mobile Phones: If mobile phones have been sent in with a students, it is to be left in their bag and will NOT be allowed to be used in lesson time or at break time.  Unless express permission has been granted by a teacher or MHTS Artistic Director.

7. Our Legal Responsibility to you
It is our legal responsibility to have the following policies and certificates up to date and verified:

· All Staff/Volunteers will be DBS certified with an Enhanced Certificate.  All DBS certificates will be renewed after 3 years of employment at Mad Hatters Theatre School or checked against the Government Update Service, should they be registered.
· Child Protection and Safeguarding Policies and training will remain up to date with UK Law and both policies and certificates of training are available upon request.
· Both Public and Employee Liability Insurances will be current and valid and are available upon request.
· All 2018 GRPD laws have been upheld and all Data held about students, parents, contacts or employees is held with express permission from the individual and kept under specified legal security measures. 

· Activities at MHTS include that of a physical nature.  Therefore, a full risk assessment is available on request or via the parent portal on our website.

8.Agreement

Acceptance: By completing the booking, you agree to abide by these terms and conditions.
